We are excited to announce an opportunity for a dynamic and organized individual to join our team as a Temporary Administrative Assistant! This part-time role, spanning four months, offers the chance to work 20 hours per week, from Monday through Thursday. As a key member of our team, you will tackle a variety of administrative tasks, playing a crucial role in ensuring the smooth and efficient operation of our office.

Essential Job Functions

•    Answer and direct phone calls in a courteous and professional manner, ensuring excellent customer service.
•    Accurately take and relay messages to appropriate personnel, ensuring timely and effective communication.
•    Greet and assist visitors, managing door access to maintain security and hospitality.
•    Ensure all visitors sign in and are directed to the appropriate staff member or meeting room.
•    Aid in filing paperwork, ensuring documents are correctly categorized for easy retrieval.
•    Maintain and organize both physical and digital records efficiently.
•    Perform data entry tasks with high accuracy and maintain confidentiality.
•    Prepare and edit correspondence, reports, and presentations, ensuring clarity and professionalism.
•    Order and manage office supplies, ensuring adequate stock levels.
•    Manage and distribute incoming and outgoing mail promptly.
•    Assist other administrative staff with various tasks as needed, promoting teamwork and efficiency.
•    Support management with special projects and assignments, demonstrating flexibility and initiative.
•    Must be present on-site and be able to move throughout the building to address community-related matters, including exceptional communication skills to meet with tenants, staff, vendors, and visitors.
•    Ability to ascend and descend stairs and be comfortable with exposure to varying environmental climates and circumstances.
•    Position may be required to perform duties outside their normal responsibilities as needed.

Qualifications
•    High school diploma or equivalent
•    Proven experience as an administrative assistant or in a related administrative role
•    Excellent verbal and written communication skills
•    Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
•    Strong organizational and multitasking abilities
•    Ability to work both independently and as part of a team.
•    A valid NYS real estate license is a plus.
•    Work authorization (required)

Hourly pay range - $23.00 - $26.00
