We are seeking a highly organized and detail-oriented Resident Services Administrator to support the daily operations of our property management team. This role plays a critical part in ensuring seamless communication with residents, vendors, and staff while maintaining accurate records and handling various administrative tasks. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional problem-solving skills, and possess a strong commitment to providing excellent service.

Essential Job Functions
  • Serve as the primary point of contact for residents, vendors, and staff, resolving inquiries and concerns promptly and professionally.
  • Organize and maintain office files, data systems, and records, ensuring accuracy and accessibility.
  • Process tenant charge-backs, vendor invoices, accounts payable/receivable documents, and tax payments.
  • Coordinate and schedule resident move-ins/outs, deliveries, and contractor/vendor building access.
  • Prepare arrears reports, draft correspondence, and manage resident notifications and charge-back letters.
  • Oversee calendar management for lease-related activities, including move-outs and security deposit refunds.
  • Schedule and coordinate meetings, reserve rooms, and prepare materials for building-related events.
  • Assist with general administrative support, including responding to emails, phone calls, and other requests.
  • Must be present on-site, with the ability to move throughout the building, ensuring effective Must be present on-site and be able to move throughout the buildings to address community-related matters, including exceptional communication skills to meet with tenants, staff, vendors and visitors.
  • Ability to travel between the main office and site locations within the portfolio and be able to ascend and descend stairs, including comfortability with exposure to varying environmental climates and circumstances.
  • Position may be required to perform duties outside their normal responsibilities as needed.
Qualifications
  • Associate degree in office management or a related field.
  • 3+ years of administrative or clerical experience, preferably in property management or customer service.
  • Proficiency in navigating computers and property management software to include Microsoft Office, Yardi, BuildingLink, ClickPay, etc.
  • Exceptional organizational and communication skills.
  • Strong attention to detail and the ability to maintain accuracy under tight deadlines.
  • Proven experience managing multiple priorities in a fast-paced environment.
  • Familiarity with property management systems (e.g., Yardi or similar) is a plus.
  • Self-motivated with a proactive approach to solving problems and improving processes.
  • Work authorization (required).
Hourly Pay Range: $26.44 - $31.25
